Dear all, You may have seen the outcomes of the talk/poster allocations was sent out on Monday night. The full list per-track is now also on the indico. Sorting things into a program can wait a bit, I reckon. We received a few requests for changes following the announcements. a- #170 was awarded a talk (DE/MG) but would prefer a poster. b- #210 was awarded a talk (LSS) but had also been awarded a poster (#209). They would prefer talking about 209 and show 210 as a poster. c- #65 (DM/LSS) would like their poster converted to talk. d- #237 (EU/DM) would like their poster converted to talk. They mention only being able to get funding if they get an oral contribution e- #337 (EU/Inflation) would like their poster converted to a talk. They mention being a 4th year student needing to make connections. f- #187 (DE/MG) would like their poster converted to a talk. Email text below. My initial reaction is to trivially OK requests (a) & (b). I would think (d) is also fine if someone more knowledgeable can confirm the topic is fine for a talk. Hi Matthieu: just a few things: for LSS: 180 is much better in methods (emulator for Nbody) 219 should be in PMF (Viel) 227 much better in DE/MG (DESI dark energy analyses) 229 better in LSS (DES Y6 reanalysis talk), now in meth who only wanted it as a poster anyway I'd like to promote these two for talks (currently not selected anywhere), which got relatively low rankings because of grades from other tracks 131 222 52 was shifted to methods but much better as LSS talk I think (QSO Ly-alpha absorption; methods also liked it so ok to leave if you want) 164 (DE) should be a poster since already has a talk in methods maybe see you this evening? Dear all, Thanks to all the convenors' timely and thorough work we have a full list of ranked abstracts. Taking the lists at face values, we have 202 uniquely accepted talks. Overall, 276 talks have been selected which tells you that about 70 talks have been selected for multiple tracks. We thus have a bit of work on our hands to curate all this, select the most appropriate track for the duplicated ones, and finish the lists. All the abstracts, including the convenors' comments, are attached (620 pages!) The working spreadsheet is here: https://docs.google.com/spreadsheets/d/1_wNrwbMAmElj7J_DKWgw8p_5K6Ihr6ISF5z… The main sheets are: - 'Full List' ---> Raw dump from Indico with full info on each talk (minus abstract). - 'Ranked per track' ---> The somewhat homogenized ranking we got from the convenors - 'All tracks' ---> Working sheet where we need to sort out the duplications. - 'All tracks with duplicates' ---> Frozen version of the current state so we have a record. The other sheets give the per-track list which we can in the future use to sort out a program. On the 'All tracks' sheet, you should be able to edit only the yellow cells. The numbers correspond to the talk ID in the main sheet (or Indico). Red crosses indicate duplicates. The "game" now is to eliminate red crosses and moving entries up by choosing the most appropriate track of a given "red cross". Additional talk IDs can be copied from the 'Ranked per track' sheet to keep populating the bottom of a given track. Finally, on the 'Full List', all the selected talks are indicated. This should let us see that we don't have someone who fell through the cracks. I will not be able to do much more on this until Friday afternoon. Dear Conveners for COSMO-26, Abstract submission is closed, and we have received a total of over 350 abstracts. Now starts the process of selecting contributions for talks and posters in the various parallel tracks. We'd like to provide some instructions to smooth the process. We have timeslots for 200 talks and can accommodate 100 posters. You should be able to see the talks that indicated your track in your overview (Reviewing Area) on the indico page https://indico.global/event/15863/ <https://indico.global/event/15863/>. Participants had the option to indicate several tracks for their talk, and many have done so. Talks are judged independently in each track (but you will see the comments from the conveners of the other tracks) Please consider ALL proposals that are listed in your track. If you think that a talk that appears in your list would be more appropriate in another session THAT THE SUBMITTER DID NOT INDICATE please indicate this with the ‘change track’ action. These cases should be rare. Note: DO NOT USE THE ‘EDIT TRACK LIST’ button - this will edit the submission move talks in and out of tracks without any confirmation from other conveners or SOC. When reviewing, you can give a score, and propose to accept or reject the abstract. Also indicate whether you think a poster would be more appropriate. Please use the ‘reject’ button very sparingly, instead use the scores to rank your abstracts, and then discuss with the other conveners of your track to consolidate the rankings together. You can customise the view of the abstract list on indico to show and sort the scores and review status of the abstracts. Once all your selections are in, the SOC will look for duplicates and come back to you with how many further talk slots you can assign. So please make a generous reserve list from the outset to make this extra step easier. The scheduling of the programme will be done at a later stage. Based on the number of submitted abstracts we have made a preliminarily allocation for the number of talks to each track (divided over blocks of 5 talks each). LSS track rankings

Hi Matthieu, we have gone through the many abstracts for the LSS session, and here is our ranking, based on the average score. We've scored the entire list, and added a column 'proposal' where we suggest c= change to another track x= do not schedule += ones we do like (but score got affected by reviewers from other tracks we could not see) p= poster (often at request of submiter) there is another column 'topic' where we have grouped abstracts, which may help in the scheduling. We really think that anything with score 3 or higher is good enough for a talk; even lower would not be crazy if there is time. Koen & Hendrik

Dear all, Some quick notes about today's meeting. Thanks for all the input. - New secretarial help has arrived in Leiden. Marielle is now set up behind the general conference email. - Invited speakers have been asked for info about logistics. Redirect them to the email we sent or to cosmo-26(a)lorentz.leidenuniv.nl if they ask you questions. - EPS prize ceremony on Tuesday is still to be confirmed. Fine on our end but need news from EPS - Thursday ~30min around lunch block is still free and options for a "50 years of Kibble paper" is still here. To be looked at after the abstract rush. - Conveners have until Tuesday to send in their rankings. Good progress in most sessions. - 2 tracks have already sent in their rankings. - You should have access to all the tracks on indico if you want to have a look at things already. - (for fun) Quick and dirty map of all the abstract speakers' advertised location: (We have a good spread!) https://www.google.com/maps/d/u/0/edit?mid=1wLpeu_bIBuaxxVQITHRcn5LxmXe-fXk *Most important part:* 1) We have a busy 10 days ahead with abstracts. We have space for 240 talks at the moment and 50 posters (maybe more). Max 40 talks in a given session unless we sub-divide more finely (we think we should try to avoid that). 2) We agreed on a based strategy/algorithm. Steps: - (a) collect all the convenors' per-track list - (b) Construct a master spreadsheet taking the top N of each track based on the convenors' lists. Starting N for each track is from the email sent last week - (c) Eliminate talks appearing in multiple tracks (i.e. select the most appropriate track) - (d) Take the next entries in each track to keep populating - (e) Sit down and assess the quality at this stage and decide for each track how many more blocks of 5 talks we add. 3) I will do (a) - (d) and then circulate the spreadsheet. 4) We agreed to then iterate from there by email and if needed to chat on Monday 18th. Time TBD. Lunch break likely option. Note that we had provisionally announced we'd announce acceptance of abstracts around the 15h. If convenors send you a ranked list, please forward it to me so I can make the main list. Please shout if you disagree with the procedure above!
